This Privacy Policy explains how ChumpCar International, Inc. dba ChampCar Endurance Series ("ChampCar," "we," "us," or "our") collects, uses, shares, and protects personal information through our public websites, registration services, event forms, racing services, and member communications.
1. Who We Are
ChampCar Endurance Series is operated by ChumpCar International, Inc., a California nonprofit mutual benefit corporation recognized under IRS Section 501(c)(7). We organize and support amateur endurance road racing events in the United States.
This policy applies to our public-facing websites and services, including champcar.org, register.champcar.org, public contact forms, volunteer forms, media credential requests, event registration workflows, membership-related communications, public event information, timing and scoring information, event broadcasts, and other public-facing ChampCar services.

- Eligibility and participation information, such as age or date of birth, minor participation details where applicable, license or credential information, and documents or acknowledgments required to participate in events.
- Volunteer and media request information, such as role preferences, event availability, credentials, affiliation, experience, application details, and approved media listings.
- Communications with us, including support requests, contact form submissions, emails, survey responses, incident reports, protest or appeal materials, and other event-related communications.
- Payment-related information processed through PayPal or other payment providers, including payment status, order details, transaction identifiers, billing information, refund information, and records needed to confirm purchases or registrations.
- Technical information, such as IP address, browser type, device information, pages visited, referring URLs, cookies, analytics identifiers, approximate location derived from IP address, and server logs.
- Images, video, audio, livestream, interview, social media, or other media content from public race events where photography, video, livestreams, or promotional coverage may occur.
Racing, Timing, Scoring, and Vehicle Data
Because ChampCar operates motorsports events, we may collect, receive, process, display, or archive race-related information, including team names, driver names, car numbers, vehicle descriptions, class information, lap times, timing and scoring data, transponder identifiers, penalty information, results, championship standings, pit lane information, and race control records.
We may also collect or receive information from motorsports technology providers, such as Flagtronics, MyLaps, Speedhive, Race Monitor, live timing systems, in-car flagging systems, GPS-enabled safety systems, or similar services. This may include vehicle location, track position, speed-related event data, device identifiers, flagging messages, timing data, scoring data, and race-control information during an event.
Sensitive or Safety-Related Information
Some information we collect may be sensitive or safety-related, such as emergency contact information, minor participation information, waiver information, incident information, medical or emergency notes voluntarily provided to us, and safety or disciplinary records. We use this information for event administration, safety, insurance, legal, and dispute-resolution purposes.
3. How We Use Personal Information
We use personal information to:
- Operate ChampCar websites, registration systems, event services, timing and scoring services, and race weekend operations.
- Process memberships, race entries, event registrations, payments, refunds, credits, merchandise orders, and order confirmations.
- Communicate with members, teams, volunteers, media, sponsors, vendors, officials, and website visitors.
- Send operational event communications, supplemental rules, rule updates, safety notices, registration reminders, schedule updates, and other race-related information.
- Manage event access, waivers, credentials, paddock assignments, garages, pit lane, volunteers, media requests, safety operations, and event logistics.
- Operate timing, scoring, live timing, race control, in-car flagging, GPS-enabled safety tools, livestreams, event photography, and public race coverage.
- Publish or archive public race information, including entry lists, results, lap times, standings, penalties, car numbers, team names, driver names, photos, video, livestreams, and event recaps.
- Send newsletters or promotional communications when permitted by law or with your consent where required.

4. Public Event Information, Media, and Results
ChampCar events are public-facing motorsports activities. By participating in or attending a ChampCar event, you understand that certain information may be visible to other participants, event officials, vendors, media, spectators where permitted, livestream viewers, and the public.
Public or archived event information may include:
- Team names, driver names, car numbers, vehicle descriptions, class information, and sponsor or livery information.
- Entry lists, timing and scoring, live timing, lap times, penalties, race results, championship standings, and historical race records.
- Photographs, video, audio, livestream appearances, interviews, podium coverage, social media posts, race recaps, and promotional content.
- Event documents such as supplemental rules, schedules, approved media lists, broadcast schedules, and event notices.
We may retain and publish race results, standings, historical event records, media, and similar motorsports information for archival, operational, historical, promotional, and member-interest purposes.

- Motorsports technology and event vendors: registration support, paddock or garage management, safety, communications, logistics, and related race services.

These vendors may process information only as needed to provide services to ChampCar or as otherwise described in their own terms and privacy notices.
9. Sharing With Sponsors, Partners, and the Public
ChampCar may identify sponsors, partners, vendors, and service providers in connection with events, newsletters, promotions, livestreams, websites, and social media. We may send sponsor or partner communications to our own email lists when permitted by law.
We do not sell personal information for money. We also do not provide our member email list to sponsors for their independent use unless we disclose that practice and obtain any consent required by law.
Some publicly available motorsports information, such as entry lists, results, lap times, car numbers, team names, driver names, standings, event photos, and event video, may be available to sponsors, partners, media, participants, and the public because it is part of public event operations and historical race records.
10. International Transfers
ChampCar is based in the United States. If you access our websites or register for events from outside the United States, your personal information may be transferred to, stored in, or processed in the United States or other countries where our vendors operate.
Where required, we use appropriate safeguards, contractual protections, vendor commitments, and other measures intended to protect personal information transferred across borders.

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including event operations, membership records, registration history, accounting, tax, insurance, safety, dispute resolution, legal compliance, historical race records, and legitimate organizational needs.
Race results, standings, lap times, timing and scoring records, championship records, public media, historical event information, and similar motorsports records may be retained indefinitely for archival, historical, operational, promotional, and member-interest purposes.
Retention periods may vary depending on the type of information, legal requirements, and operational needs. When information is no longer needed, we will delete, anonymize, or securely retain it as legally appropriate.

California privacy laws may provide certain rights to California residents depending on the nature of the organization and the information involved. ChampCar is a nonprofit organization, but we will review California privacy requests and respond where required by applicable law.
Brazil LGPD Rights
Brazilian residents may request confirmation of processing, access, correction, anonymization, blocking, deletion, portability, information about sharing, information about the consequences of denying consent, and revocation of consent where applicable.
Australia Privacy Rights
Australian individuals may request access to and correction of personal information and may submit a privacy complaint. We will respond in a reasonable manner and within applicable legal timeframes.

We may send event updates, newsletters, sponsor information, rule updates, registration reminders, merchandise information, and promotional communications. You can unsubscribe from marketing emails using the unsubscribe link in the email or by contacting us. Operational race, account, payment, safety, legal, or registration communications may still be sent where necessary.
14. Children and Minors
ChampCar events and services may involve minors in limited circumstances, subject to applicable event rules, parental or guardian involvement, waivers, and safety requirements. We do not knowingly collect personal information from children under 13 for general website use without appropriate consent where required. If you believe a child has provided personal information without proper authorization, contact us.
For minors who participate in events or are included in event records, we may process information needed for waiver, safety, credential, insurance, event administration, and legal purposes.

We use reasonable administrative, technical, and organizational measures intended to protect personal information. These may include access controls, account authentication, vendor controls, logging, backups, and other safeguards appropriate to the type of information involved.
No website, email, registration system, payment platform, motorsports technology system, or internet transmission is completely secure, so we cannot guarantee absolute security.
16. Do Not Track and Global Privacy Signals
Some browsers and devices offer "Do Not Track" or similar settings. There is no uniform industry standard for responding to those signals. Where required by applicable law, we will honor legally recognized opt-out preference signals for covered processing activities.
