Team captain and event-entry guide

Set up your Driver Pool and race car, build an event roster, apply Race Credits or make a payment, confirm the entry, submit the tech sheet, and manage later changes.

Complete your own membership requirements before starting an entry.

The event-entry wizard will stop a captain whose ChampCar membership is expired. Check your membership, liability waiver, and gear acknowledgement before registration opens.

Captain quick start

Set up these items before building the event entry.

Create your team

Create the Driver Pool, team name, and private four-digit PIN.

Invite team members

Share the invitation link or the Driver Pool ID and PIN privately.

Add the race car

Select its make, model, and year, then enter the remaining details.

Enter the event

Select the event and car, then assign drivers and crew.

Review, pay, and confirm

Check the entry, apply Race Credits or make a payment, then verify that the event appears on the dashboard.

Finish race paperwork

Maintain the entry and submit the required captain tech form.

Create a team and become its captain

Dashboard → Create Your Team
  1. Log in at register.champcar.org.
  2. From the dashboard, select Create Your Team. You may also find the team tools under the Team menu.
  3. Enter the team name.
  4. Create a private four-digit team PIN.
  5. Submit the form. The system creates the Driver Pool and makes you its captain.
  6. Record the assigned Driver Pool ID. Members need this ID and the PIN to join.
Protect the PIN: Anyone with the Driver Pool ID and PIN can request to join the pool. Share them only with your drivers and crew, and change the PIN if it has been shared too widely.

Manage the Driver Pool and invitations

Team → Edit my team
  1. Open Edit my team.
  2. Confirm the team name and four-digit PIN. Select Update Team after making a change.
  3. Review the current team-member list. The captain is identified, and expired memberships are marked *EXPIRED*.
  4. Select Generate Invitation Link when you want a link that fills in the Driver Pool ID and PIN for the recipient.
  5. Send the invitation link privately. Alternatively, give members the Driver Pool ID and PIN so they can use Team → Join a team.
Important distinction: A Driver Pool is the list of people available to your team. It is not an event roster. You must still assign each driver and crew member to each event entry.

Add and maintain team cars

Cars → New Car
  1. Open New Car.
  2. Select the make. The available model list will load.
  3. Select the model. The available year list will load.
  4. Select the year, then enter the car color.
  5. Enter the transponder number and Flagtronics ID when available.
  6. Add useful notes, then select Add Car.

Edit an existing car

Open Cars to see the garage. Each car row includes Edit and Delete controls. Keep the transponder and Flagtronics information current before using the car in an event entry.

Before deleting: Confirm that the car is not needed for an existing entry or team record. Edit is the safer choice when correcting details.

Check member readiness

The registration system identifies expired memberships and incomplete annual forms. The entry and edit screens use status symbols to help the captain find problems.

  • The captain’s membership is current.
  • Drivers and crew have active accounts.
  • Required memberships are current.
  • Liability waivers are current.
  • Gear acknowledgements are current.
  • Everyone has joined the Driver Pool.
If someone is missing: Ask that person to create or update their own account and join your Driver Pool. Captains should not create duplicate accounts for team members.

Build a ChampCar Endurance Series entry

Captain Actions → Enter Event
  1. Event & Car: Select an available event and a car from your garage. The system reminds you that a $250 deposit is required to submit the entry.
  2. Drivers: Select each participating driver from the Driver Pool. A checked box adds that person to this event roster.
  3. Crew: Select participating crew members from the Driver Pool. Crew selection is optional, and only people in the pool appear.
  4. Review: Check the event, car, driver roster, crew roster, equipment, team name, rental selections, rules agreement, and refund-policy agreement.
  5. Payment: Review the itemized costs, apply available Race Credits or an eligible discount, then pay the required $250 deposit, the full amount, or any remaining balance shown by the system.
Expired captain membership: The wizard stops before event selection and displays a renewal link. Renew the captain’s membership, then return to Enter Event.
Unavailable event: An event may still appear in the list even when entry is not yet open or the event is full. If the system rejects it, confirm the registration-opening date or event availability.

Complete the review screen

  1. Select an available car number. The number applies to that event only. Contact reg@champcar.org about permanently assigning a number to the car.
  2. Confirm or enter the transponder number. Leave it blank if the team needs to rent a transponder at the event.
  3. Confirm or enter the eight-digit Flagtronics ID, which must begin with 2. Leave it blank if the team needs a rental.
  4. Review the team name and the rental options shown for the event.
  5. Read and accept the current BCCR and applicable supplemental-rules agreement.
  6. Read the displayed ChampCar Refund Policy and accept its agreement.
  7. Select Confirm & Continue to Payment.
Automatic equipment rentals: When the selected car has no transponder number or Flagtronics ID, the review screen automatically selects the corresponding rental. Review these boxes carefully before continuing.
The review screen does not confirm the entry: Selecting Confirm & Continue to Payment only moves the entry to the payment step. Complete the Race Credit or payment transaction, then return to the dashboard. The entry is confirmed only when it appears under Upcoming Events.

Do not use the browser’s Back button during payment unless the payment page tells you to.

Confirm that the entry was completed

Dashboard → Upcoming Events
  1. After completing the Race Credit or PayPal transaction, return to the registration dashboard.
  2. Find the event under Upcoming Events.
  3. Confirm the team, car, event, and payment information are correct.
  4. Review the driver and crew roster and any remaining balance or required captain actions.
If the entry is missing: Do not submit repeated payments. Check the transaction status and contact reg@champcar.org if the payment was completed but the entry does not appear.

Edit an existing entry

Captain Actions → Edit Entry
  1. Open Edit Entry.
  2. Select the eligible future entry.
  3. Review the car, driver, and crew details and make the permitted changes.
  4. Check the status symbols. The legend identifies completed annual forms, incomplete forms, expired membership, and checked-in participants.
  5. Review and save the changes.
Which entries appear? The page lists future entries with confirmed payment where you are the captain. A checked-in participant cannot be switched to a different role.

Submit the captain tech form

Captain Actions → Tech Sheet
  1. Open Tech Sheet Submission.
  2. Select Entry: Choose the event entry that needs a tech sheet.
  3. Tech Form: Complete the car and safety information requested for that event.
  4. Review & Submit: Verify the answers and submit the form.

If the page says No Entries Available, there is currently no eligible entry requiring a tech sheet under your captain account.

Use Race Credits or pay the deposit, full entry, or remaining balance

Entry Wizard → Payment

The final wizard step displays an itemized summary of the event fee and selected rentals. It also shows available Race Credits and eligible discounts. If the entry qualifies for the early-pay discount, the system shows the discount and the reduced full-payment amount.

  1. Review the event fee, rentals, discounts, and total.
  2. Apply available Race Credits when offered.
  3. Enter a valid discount code, when applicable, and select Apply.
  4. Select Pay $250 Deposit to secure the entry with the required deposit, or select Pay Full Amount to pay the amount displayed.
  5. If a balance remains after Race Credits are applied, complete the secure PayPal payment process and retain the confirmation.
  6. Return to the dashboard and confirm that the entry appears under Upcoming Events.

Make an additional payment later

Open Captain Actions → Make Payment and select an eligible entry. Apply available Race Credits when offered, then pay any remaining amount shown by the system. If the page says No Eligible Entries Found, none of your current entries can accept an additional payment through this page.

Captain checklist before the event

  • The correct event and car are shown.
  • Car identifiers are current.
  • Every driver is on the event roster.
  • Every crew member is on the event roster.
  • Member warnings have been resolved.
  • Race Credits or payment have been applied and the entry appears under Upcoming Events.
  • The captain tech form is submitted.
  • Last-minute roster changes are saved.
